DESCRIPTION
Historically, Polk County has contracted with AVI-SPL to provide audio visual (AV) systems for the Emergency Operations Center, the Utilities SCADA system, and most recently for the new fire rescue training facilities through OMNIA cooperative agreements. The Facilities Management and Communications Divisions have requested Procurement to piggyback a new agreement with AVI-SPL to continue to provide standardized audio visual equipment, accessories, and services as needed. There are two planned projects that will begin upon execution of this agreement, 1) Board Room audio visual upgrades, and 2) Utilities Administration building conference room audio visual upgrades.
The County belongs to the OMNIA Cooperative, which has enabled us to piggyback the agreements that were solicited on behalf of the cooperative. OMNIA recently solicited Request for Proposal (# R250401), resulting in an agreement with AVI-SPL LLC for audio visual equipment, accessories, and services. The term of the agreement is through October 1, 2030. There are no local vendors that provide these services.
RECOMMENDATION
Approve cooperative agreement with AVI-SPL LLC to provide audio visual equipment, accessories, and services for Polk County. (Estimated annual expense, $2,000,000.00)
FISCAL IMPACT
Funding for the Board Room project is available within the general fund reserves. Funding for the Utilities Administration building conference room project is available within the Utilities 5-year CIP R&R budget.
