DESCRIPTION
The Fleet Management Division has historically utilized a bid to auction off vehicles, equipment and related machinery. The current bid is awarded to an out of County vendor and is expiring on May 31, 2025. The City of Haines City solicited RFP 20-07, Auction Services which resulted in an agreement with Central Florida Auction, LLC located in Haines City, FL.
The Fleet Management Division requested Procurement to piggyback the Haines City’s agreement with Central Florida Auction to perform online and in person auction services on an as needed basis. There will be no commission charged to the County. All commissions for sales will be collected from the buyers as the buyer’s premium. The County will receive the amount of the sale of the item, less the buyer’s premium.
When a County vehicle or piece of machinery has reached its useful life, Fleet Management will work with the vendor to pick up the item(s) for auction. The vendor will collect all revenue the day of the auction and work with the Comptroller’s office to process the title work. Payment to the County will be made within 5 working days after the last day of the month. The term of the agreement is through March 21, 2028.
RECOMMENDATION
Request Board approve piggyback agreement with Central Florida Auction, LLC for auction services for the Fleet Management Division.
FISCAL IMPACT
Revenue from the auctions will be deposited into the vehicle replacement fund to assist the associated division that originally purchased the item with future purchases.
